We (the Marketing team) received an email last week inquiring why a couple of people weren't receiving Life West emails. That's been resolved, but we wanted to send out a quick communication to give everyone a better understanding of our email system.
TL;DR:
1. Use your @college.lifewest or @lifewest.edu emails when registering for events at Life West
2. Don't unsubscribe from Life West emails
If you believe you're not receiving important college emails, send us an email at marketing@lifewest.edu to let us know.
The Background:
As a college, we know we send a lot of emails. We utilize communications like The VOICE to consolidate as much as possible, but ultimately, each department throughout Life West has various things they both want and need to communicate. That's true for students, staff & faculty alike.
On the backend, we use a platform called HubSpot as our primary email tool. HubSpot acts as our CRM system (customer relationship manager) – basically a giant database with all of your names, emails and miscellaneous other contact information.
Most of the forms we use (on our websites) are powered by HubSpot and update your contact info any time you submit one (e.g. registering for The WAVE or Dr. Peter's Investiture).
Two of the most common issues we run into:
1. You've submitted a form with your personal email.
If you submit a form on any of our websites using an email other than your @lifewest or @college.lifewest email, in most cases, the system updates your contact in the CRM to use that email moving forward. In that scenario, you'll continue to receive Life West emails, but you'll find them in your personal email inbox (generally not ideal).
Recommendation: Use your @lifewest/@college.lifewest email when completing forms on any of the Life West websites (e.g. RSVP'ing for an upcoming event).
2. You've unsubscribed from Life West email
Life West staff, faculty, and students are expected not to unsubscribe from Life West communications, but frankly, we have no technical ability to stop you from doing so.
When we notice that staff, faculty, or students have unsubscribed, our team must manually resubscribe them. However, we typically don't see that a user has unsubscribed until an issue arises, such as not receiving an important communication.
Recommendation: Don't unsubscribe from Life West emails 😎. If you need a solution to declutter your Life West inbox, we recommend using Gmail's filtering to move emails to folders based on the sender automatically.
